Date: 24-26 November 2021
Where: Virtual eventOzGrav is pleased to announce that this year we will be holding the Annual Retreat on 24-26 November. The Retreat is intended to give you a chance to learn about the research and interests of your fellow OzGravvers and participate in science planning & collaboration sessions. The event will be virtual and to reduce 'zoom fatigue' the event will run over 3 half-days. The Annual Retreat directly follows the Early Career Researcher workshop that is being held 22&23 November.
All OzGrav members are strongly encouraged to actively participate in the retreat. Registration is not required - emails will be distributed to all OzGrav members prior to the event with the videoconferencing links and final program.
We are inviting members to submit abstracts for:- 2 minute sparkler talks - All members are welcome to give a sparkler talk, with students and postdocs are especially encouraged to use this opportunity to share your research with your colleagues.
- 60 minute parallel sessions - Any OzGrav member is welcome to submit an abstract to run a 60 minute session/workshop on a topic of relevance to others in OzGrav. We especially encourage proposals that might elicit cross-node and/or cross-program/theme engagement

Sparkler talk applications are now closed- Sparkler talks will be allocated 2 minutes. There will also be time allocated for Q&A.
- There are two sparkler sessions presenters are invited to participate in (1:30 PM AEDT on Wednesday 24 Nov and again at 1:30 PM AEDT on Thursday 25 Nov). Each session you will be allocated a breakout room at random to present your talk to a small group of OzGrav members who have also been randomly allocated the same breakout room..
- At each sparkler session, you will be put into a zoom breakout room with ~2 other people who are also presenting a sparkler plus 3-5 other people who are not giving sparklers. (i.e. we expect 6-8 people in each breakout room).
- Both Sparkler session will be use Zoom.
- You and the other people presenting sparkler talks will take turns giving your ~2 min talk to the small group, and then the group can have informal Q&A about your talks and chat about each others' research.
- The sparkler talk sessions are scheduled directly before a long break at 2PM AEDT. Therefore, there's no hard cut-off for when to stop chatting, but we expect that most groups will probably wind up after about 15-20 mins.
- Sparkler slides should be limited to two slides per talk. You do not need to submit your slides prior to your talk. Please ensure the slides are in a format compatible with screen sharing via zoom.
parallel session
We are pleased to give our members an opportunity to run/facilitate 60-minute parallel sessions during this year's Annual Retreat.
Applications have now closed- Please refer to the Program tab for a full list of the parallel sessions and their scheduled times.
- Parallel sessions will be run via Gather town. We have included Gather town tutorials in the the Tab labelled same. If you are facilitator of a parallel session and Gather town is not suitable to be run your session, please ensure you notify Yeshe Fenner coo@ozgrav.org and your session can be allocated to a zoom link .
- We will arrange some drop in sessions on 22& 23 Nov for session facilitators to familiarise themselves with the space.
- Facilitators will need to arrange for a note-taker to document the key discussion points, actions and outcomes, which we would like to share with the rest of the Centre.
- Please refer to the Program tab for a full list of the parallel sessions and their scheduled times.
conference dinner/GATHERING
In the states and territories where it is possible, a casual conference dinner/gathering will be arranged for our members to meet with fellow OzGrav colleagues in person. This will be organised by your local node admin staff member or delegate. Members will be updated as the details are organised. For our Melbourne based members we intend to organise a casual event that all 3 nodes can attend together.- Parallel sessions will be run via the virtual platform Gather town. It is a simple and intuitive web-based tool that does not require installation of software prior to use.
A link to the Gather Town space has been emailed to all OzGrav members.
Gather Town Information and support
Participants will join us in a 2D world with 8-bit graphics, walking around the space by moving their avatar with their keyboard’s arrow keys. For optimal user experience, it is suggested that you use Chrome for your web browser. If you have not used Gather town before, below are some links to instructions of how to navigate within the platform. - All communication should be appropriate for a professional audience including people of many different backgrounds.
- Participants asked to stop any inappropriate behaviour are expected to comply immediately. Attendees violating these rules may be asked to leave the event at the sole discretion of the organisers without a refund of any charge.
- You are welcome to engage with this event and your colleagues through social media, provided that your communications are respectful, appropriate for a professional audience, and adhere to the Code of Conduct. If you have questions or criticisms about a colleague’s research or presentation, we strongly encourage you to communicate that directly to your colleague rather than via social media. We also encourage you to only post things on social media about other people, which you would be comfortable saying to them in person.
